How We Use TOGGL To Increase Productivity
Toggl is the second mentioned app in our article 8 Free Apps We Use To Increase Productivity. We are going to explore toggl more in this article.
So first of all, let’s start with knowing a little more about toggl.
As we said in that article, toggl is the time tracking app which can be used by entrepreneurs, small businesses, professionals,etc to track time they are spending on different things, and that too with just a single click.
And wait, that’s not just a simple time tracking app. You can log time you spent on different tasks, different projects and if you charge from your clients based on hours you spent working on their project or working with them you can set your billable hours and you can calculate rates for billable hours as well. (Fascinating, right?)
Wait wait, still there are features !
You can create reports of time you worked on different days and different projects, you can save these reports, share these report, print these reports, create teams, create workspaces, create tags, track your time even when you are offline etc etc. (That’s a lot !🤷)
So now let’s see how we can utilize toggl to increase our productivity. (Hurray, We’re already doing it 😉)
Create Account on Toggl :
OPTION 1 : Sign up using Email
To sign up on toggl using your email, go to toggl.com and click on “Sign Up” button on upper right corner.
enter your email id and password you want and then click on red button with “Sign Up for Free” written on it. Clicking on the button will take you to your toggl dashboard.(Seriously !)
OPTION 2 : Sign up using Google account
You can sign up on toggl using your Google account as well.
To do so, click on “Sign Up With Google” option instead of entering your email id and password, then enter your google account details and sign in, you will be logged in and redirected to your toggl desktop.
Create Workpspace on Toggl :
To create workspace on toggl, click on “Workspace” from menu on the right side of your toggl dashboard.
Then on the page which will open, you will see “Create new workspace”, underlined and written in blue text, click on that. A pop up will open which will ask you name of your workspace, enter name you want to give to your workspace and click on green “CONTINUE” button. Now you will be asked to invite other members to workspace,skip it for now (We’ll see how to do it later in this post) and click on continue, your workspace will be created.
Create User Groups Within Workspace on Toggl :
Toggl gives you ability to create usergroups within the workspaces so you and your team members can track time you spend together working on same project.
To do so, click on “settings” from drop down menu which opens when you click on three dots given just before the name of workspace in which you want to create user groups within workspace option and then select “User Groups” tab.
It will ask you name of your usergroup, enter the name you want to give to your usergroup and hit green “Add” button.
Once you will click on Add button your usergroup will be created and you will be able to see the name of your usergroup under the text box in which you entered your usergroup name. You can edit your usergroup name or delete it from there.
You can create as much user groups as you want following this procedure.
Create Tags Within Workspace on Toggl :
To differentiate one task from another, toggl gives you ability to create tags within workspaces.
To create tags within workspace, enter the settings of workspace following the procedure we followed while creating user groups. But this time, click on “Tags” given beside “User Groups”.
A text box will ask name of tag, enter the name you want to give to your tag and hit green “Add” button. Tag will be created and will be visible under that text box.
Just like user groups, you can edit name of the tag or delete it from there. You can create as much tags as you want following this procedure.
Create Clients Within Workspace on Toggl :
To mention name of the client for whom you are working on project, toggl gives you ability to create clients within workspaces.
Procedure of creating or adding clients within the workspace is same as creating user groups or creating tags. You have to go to settings of workspace, click on “Clients” option from there, enter name of the client, hit “Add” button and your client is added ! (Simple, no?!)
Just like usergroups and tags, you can create as much clients as you want.
Add People in Team :
To work together on project with your team, you will need to create team and adding your team members to it first, right?!! (That’s quite obvious)
To add people into team, go to the team section by clicking on “Team” from menu on right side of your toggl dashboard.
On upper right corner, you will see a box asking for email ids, enter email id of your team member whom you want to add in your team and click on green “Invite” button as shown below.
Your team member will have to accept your invitation to join the workspace from his/her personal toggl account and will receive an invitation mail from toggl which will look like one given below.
Once your team member will accept your invitation,he/she will be added to your team and you will be able to assign them tasks or add them into usergroups.
Add People Into Specific Usergroup :
To add someone into a specific usergroup you created, click on group icon visible on hovering your mouse under “Access” section next to the name of the member.
You will see a drop down with checklist of all the usergroups you created so far. Select all the usergroups you want to add that member in and then click on “Apply” button and that member will be added in all the selected user groups.
If you want to make some member admin of the workspace you can do that too by selecting admin from here.
Create Project on Toggl :
Toggl is about tracking time you are working on project. After creating workspaces, tags, clients and everything we have seen so far in this post, you can create projects a well.
To create a project on toggl, go to “Project” section from menu on right side of your toggl dashbaord. On screen which will open, click on green button saying Create Project, enter the name of the project and click on create project button and your project will be created.
Create A Task & Start Tracking Time :
To create task and start tracking time, go to “timer” section from the menu on right side of your toggl dashboard. Enter name of the task, add tag to it, add client to it and hot enter. It will start timer.
You can use toggl on their official website which is https://toggl.com. They have webapp, IOS app, Android App, chrome button and Firefox addon as well.
